You can give your partner, a family member or your event planner access to an event in Reception.my. Each person signs in with their own account, so you can work on the same invitation and dashboard without sharing your password.
The event owner sends an invitation by email and chooses what the collaborator can do. Access begins when the recipient accepts the invitation from their dashboard.
1. Save your event first
Sign in with your verified email address and complete event setup until the event appears on your dashboard. You can invite collaborators to a private, unpaid event before publishing. Unfinished setup progress stays in your own account until an event has been created.
Only the event owner can invite people, change their roles or remove access. If someone shared an event with you, ask its owner to add any additional collaborators.
2. Invite your partner or planner
You do not need to copy or share a special invitation link. If email delivery is delayed, the recipient can still visit Reception.my and sign in with the invited email to find the invitation.
- Open your dashboard and choose Open event for the event you want to share.
- Click Collaborate in the event actions.
- Enter the person’s email address. Use the email they will sign in with, even if they have not created an account yet.
- Choose Editor or Viewer using the role descriptions below.
- Click Send invitation. Reception.my sends an email notification and saves the invitation for that email address.
3. Choose the right access
Choose Editor for someone who will help prepare the invitation or review guest responses. Choose Viewer for someone who only needs to review the invitation and attendance totals.
Editors can change photos and other invitation content. Saving an already published invitation updates the live page immediately, without a separate owner approval step.
- Owner: you keep control of payments, publishing, unpublishing, deleting the event or guest responses, and managing collaborators. Inviting someone does not transfer ownership.
- Editor: can edit invitation details, wording, design, public URL and uploaded media. Editors can view guest responses and export them when the event’s package includes CSV export.
- Viewer: can preview the invitation and see RSVP totals. Viewers cannot edit the invitation, see individual guest details or export the guest list.
4. Ask the recipient to accept
An invitation sent to one email address will not appear when you sign in with a different address. Receiving an email alone does not grant access; the invitation must be accepted.
- Open the notification email and go to the dashboard, or visit Reception.my directly.
- Sign in with the invited email address. If it is a new account, create it and verify that same email first.
- Open Invitations in the dashboard header. A small count shows pending collaboration invitations.
- Check the event name, inviter and role, then click Accept invitation. Choose Decline invitation if you do not want access.
- The accepted event opens and appears on your dashboard as a shared event. Use Open event to return to it later.
5. Review changes when saving together
If someone saves while you are editing, Reception.my keeps your unsaved changes and asks you to review the latest saved invitation. Changes to different fields can be combined. If you both changed the same field to different values, choose which version to keep.
For example, your partner can change the venue while you change the opening message. The review combines both changes. Click Apply reviewed changes, check the invitation, then Save changes again. If another save happens in the meantime, you will be asked to review again.
The photo gallery is reviewed as one group, and some design or RSVP settings are reviewed together. Agree on who is updating those sections when you both need to make changes.
6. Change a role or remove access
Role changes and removal apply to future requests, including when the person is already signed in. Their previously saved changes stay on the event. Information they have already viewed or downloaded cannot be taken back.
- Open the event and click Collaborate. Under People with access, select Editor or Viewer beside the person to change their role.
- To remove a collaborator, click Remove and then Confirm removal. This removes their access to this event; it does not delete the event or their account.
- For an invitation that has not been accepted, click Revoke invitation to cancel it. Use Resend invitation for a pending invitation or Invite again after it expires or is declined.
Common questions
What if the email is not registered yet?
You can still send the invitation. The recipient creates an account with that email, verifies it, then opens Invitations on their dashboard to accept.
Does collaboration cost extra?
No extra payment is needed to collaborate on a saved event, including a private, unpaid event. Publishing and collecting RSVPs still follow the event’s package requirements.
Why can’t the recipient find the invitation?
Check that they signed in with the invited email and verified it. Invitations expire after seven days and disappear from the pending inbox if accepted, declined or revoked. The owner can check the status under Collaborate and resend or invite again when appropriate.
How many people can I invite?
Each event supports up to 50 collaborators and pending invitations combined, in addition to the owner. Revoke old pending invitations to free up space.
Do guests need collaborator access to RSVP?
No. Guests open your published invitation and send their RSVP without an account. Collaborator access is for people helping you plan the event.
